Safety & Human Resource Assistant

 

POSITION SUMMARY DESCRIPTION:

Provide essential administrative support to the HR and Safety departments including maintaining employee records, recruiting and onboarding processing, documenting safety training, and preparing safety materials for the Safety & Training Manager.

ESSENTIAL JOB RESPONSIBILITIES:

  1. Assist Safety & Training Manager with OSHA and safety related programs and training.  Support programs by collecting, documenting, scanning for recordkeeping, and file documents and information for programs including powered industrial trucks, personal protective equipment, hazard communication, first aid and blood borne pathogens, hearing conservation, crisis and emergency action plan, crane/hoist, visitor safety, laser safety, walking/working surfaces, fire prevention, electrical, lockout/tagout, and hygiene testing.
  2. Collect, organize, scan and file monthly safety topic highlights.  Collect, record, and file new hire paperwork.  Maintain training records.
  3. Scan and file incident investigation reports and secondary logs.  Set up appointments as needed with medical provider and/or physical therapy.  Upload and provide worker's compensation documents to carrier as needed.
  4. Prepare supporting documents for the Safety and Ergonomic monthly meetings.  Create secondary log summaries, record hazards and recommendations report, and prepare audit packets for committee members. Create documents for posting and safety charts for Hatco board reports.  Scan and file SEC related information.
  5. Distribute hourly payroll checks and vouchers on a timely basis.  Answer any payroll questions as needed. Complete daily interoffice mail distribution.  Maintain mailbox locations and reports.
  6. Maintain personnel files for hourly employees.
  7. Administer electronic access through Kantech access system.  Provide key cards or fobs to new hires and replacements to employees as needed.  Update records for Fastenal vending access.
  8. Assist with the review of applications, reference checking and conducting and setting up interviews.
  9. Serve as primary back-up to the receptionist.  
  10. Maintain employee information bulletin boards including mandatory state and federal law postings as well as general information employee communications.
  11. Assist the HR Manager, Safety & Training Manager and Directors of Operations with projects and situations as requested.

QUALIFICATIONS:

  • Knowledgeable in human resource and safety practices and the ability to organize, direct and  coordinate safety & personnel programs.
  • Excellent communications skills and people skills, ability to resolve problems.
  • Proficient in Excel, Word and PPT Must be dependable, reliable and able to handle confidential information in a highly professional manner.
  • Work independently on assigned tasks
  • Limited travel and ability to work flexible schedules when necessary.

EDUCATIONAL OR EXPERIENCE REQUIREMENTS:

  • Associates degree in Human Resources/Safety or related field preferred.
  • Minimum of 2+ years of related work experience.
